This explains what we collect, why we collect it, and how we look after it.
Who we are
IniDeck operates under Millionyse Pty Ltd. In this policy, "we" and "us" means IniDeck and Millionyse Pty Ltd.
What we collect
Information you give us when you create an account, such as your name, your business name and your email address.
Billing information. Card payments are processed by our payment provider, and we do not store your full card details.
Information you put into IniDeck while using it, including details of your clients, the work you do for them, documents, and messages sent and received through the service.
Information from services you connect to IniDeck, such as accounting, email or calendar tools, to the extent needed to do the work you ask for.
Technical information generated when you use the website and the product, such as log data and device and browser details.
How we use it
To provide the service: carrying out the work you ask for, communicating with your clients on your instruction, working with the services you connect, and keeping a record of what was done.
To bill you, support you, keep the service secure, and tell you about changes that affect your account.
To send you news and updates about IniDeck, which you can unsubscribe from at any time.
To understand how the website and product are used, so we can improve them.
How automated systems are used
IniDeck uses automated systems, including AI, to understand requests and to carry out work, such as preparing messages and documents, following up, and creating or updating records in services you connect.
Anything that cannot be undone, such as sending something to your client or changing a price, is carried out only after a person in your workspace approves it. Every action is recorded, including what was approved and by whom.
AI and your information
Before a request reaches an outside AI provider, the names, contact details and figures in it are replaced with placeholders. The real values are never sent to the outside provider.
Your business records are never used to train an AI model belonging to anyone else. Where we improve our own systems, we learn from anonymised patterns in how requests are structured, not from what is in them.
Your clients' information
When you put information about your clients into IniDeck, we handle it on your behalf. We use it only to do the work you ask for, we contact your clients only on your instruction, and we never use their details for our own purposes.
You are responsible for having the right to share that information with us and to contact the people you ask us to contact.
Who else handles it
We work with established service providers for hosting, network security, AI processing, payment processing, email and message delivery, and website analytics. Each handles information only to provide its service to us.
We do not sell personal information, and we do not share it for advertising.
We may disclose information where the law requires it, or where it is reasonably necessary to deal with unlawful activity or misuse of the service.
How it is stored
Information is held on secure cloud infrastructure and is encrypted as it travels between your device and IniDeck. Our providers may store or process information in other countries.
How long we keep it
We keep your information while your account is active, and you can export your records at any time during that period.
When an account closes, we stop using the information to provide the service. We keep records for up to seven years afterwards where we reasonably need them to meet legal and financial obligations, resolve disputes, or investigate misuse of the service, and then delete or de-identify them.
Where records relate to suspected unlawful use of the service, we may keep them for as long as they are needed for that purpose.
Cookies and analytics
Our website uses cookies and analytics tools to understand how it is used, and may use tools that record interactions such as clicks and scrolling. Any such recording tools are used on the website only, never inside the product.
On your first visit you can accept or decline analytics cookies, and you can change your choice at any time from Cookie settings at the bottom of every page.
Inside the product, we use cookies that the service needs to work, and our own analytics to understand how features are used.
Your choices
You can ask to access the personal information we hold about you, and ask us to correct it.
You can unsubscribe from news and updates using the link in any of those emails. Messages about your account and the service are not affected.
If you have a concern about how we have handled your information, tell us and we will respond.
Changes to this policy
If we change this policy in a way that matters, we will tell you before the change takes effect.
