The rule
AI is used for the one thing it is genuinely excellent at, which is understanding what a person means. A message written in a hurry, half a sentence, a voice note between jobs.
It does not change your records on its own. Ordinary software does that. The kind that cannot improvise, cannot be talked into anything, and does the same thing on Tuesday that it did on Monday.
We learned this the expensive way
We built it the other way first, because everybody does. Give the model the data, ask it for the outcome, let it work.
It hallucinated. Quietly, and in ways that read as perfectly reasonable until somebody checked them against the record. By then the work had already gone out.
A system built on probability does not stop when it is unsure, because stopping is not something it knows how to do. It produces the most plausible answer, and plausible is not the same thing as correct. How we found that out.
What this costs you
We would rather say this plainly than have you find out.
A system built this way stops more often than one that guesses. When something genuinely is not in the record, it comes back and asks rather than producing something that reads well. Some of those interruptions will feel unnecessary, and a more confident system would have carried on without bothering you.
It also means we might ship a bit more slowly. Every capability has to be something that can be checked before it runs and read back after it has, which rules out a lot of shortcuts.
We accept that.
What it saves you
The serious products in this category are not careless about the guessing problem. They deal with it by spending more on it. More checking, more passes, more context handed to the model every time anything happens.
That works, and somebody pays for it. The cost rises with how much you use the system, which is manageable for a company with a finance department and quietly punishing for a small team. It also means the more work you hand over, the more it costs you to have handed it over.
We built ours so that cost does not climb in step with how much you hand over. It does not make AI free, and we would not pretend otherwise. But it is a different curve, and it is the one that matters when you are three people rather than three hundred.
The AI layer is a component here, not the foundation. We can change it, and over time we intend to own more of it. Nothing you depend on rests on one supplier staying the way it is today.
What we are not claiming yet
There are things we expect to be able to say in a year that we are not saying today, and the fact that they are absent from this page is deliberate. We would rather be exact now than explain later.
