IniDeck came out of Millionyse, a digital services agency that shelps streamline and automate business processes for other people's businesses. Over the past few years we have worked with more than 60 businesses across Australia, the United States, Canada, Sri Lanka and the United Arab Emirates, on more than 100 projects. Different countries, different industries, different sizes. The same thing broke every time. A business buys a tool to solve one problem. Then another for the next one. Every wave of business software has removed one layer of the work and handed back another. The person stayed on the hook throughout. That is the thing changing. #### Three eras, one constant Software as a service sold a tool, and a seat for everyone who touched it. It was a genuine advance. You no longer bought a server or a licence you had to install. But the tool sat there until somebody opened it, and that somebody was you. Automation builders sold the connections between those tools, and with them the job of repairing the connections whenever a third party changed an API. The promise was that the work would flow by itself. The reality was a second job maintaining the pipework, and it fell to the same person. AI chat sold advice. Instant, articulate, enormously confident advice, and no ability to act on a word of it. It could tell you precisely what to write to the client who had gone quiet. Somebody still had to open the inbox and write it. Three eras, three real improvements, and one thing that never moved. The software kept getting better and the person stayed on the hook. #### The unit is changing What has actually been on sale all this time is capability. The ability to do a thing, licensed by the month, with execution left to the buyer. That works when the buyer has people whose job is execution. A business of three does not have those people. The owner is the sales team, the account manager, the bookkeeper and the person who remembers that the renewal is due. For them, capability is not the scarce resource. Attention is. So the unit that matters is not capability. It is completed work. Not a place to raise an invoice, but the invoice raised, sent, followed up and reconciled. That is a different product, and it cannot be reached by adding features to the old one. #### Why the smallest businesses feel it first Large organisations absorbed this problem with headcount. Operations teams, finance teams, an administrator per department. The software never had to do the work because there was always somebody whose job was to make the software work. A small business has no such absorption layer, which is why the same tools that feel efficient at scale feel like a second job at three people. The gap is not a matter of taste or sophistication. It is structural, and it has been there since the first business application shipped. #### What it looks like in practice You do not onboard a new hire by handing them a dashboard and a tutorial. You tell them what needs doing. They go and do it. They come back when they need a decision that is genuinely yours to make, and they tell you what they did while you were not watching. That is the relationship. It is not a metaphor for a better interface, it is a description of a different product. The work arrives finished, and the things you are asked about are the things that actually require you. #### Why this is not simply more agents The obvious way to build this is to give a model access to the business and let it decide and act in a loop. It is also the reason most of this category will not be trusted with anything that matters, because a system built on probability does not stop when it is unsure. It guesses, and the guess goes out in your name. An employee you cannot trust with the work is not an employee. It is a very fast intern with the keys to everything. One rule sits underneath everything in the product, and it is the reason we are willing to let it near the things that cost you money when they go wrong. #### The rule AI is used for the one thing it is genuinely excellent at, which is understanding what a person means. A message written in a hurry, half a sentence, a voice note between jobs. It does not change your records on its own. Ordinary software does that. The kind that cannot improvise, cannot be talked into anything, and does the same thing on Tuesday that it did on Monday. #### We learned this the expensive way We built it the other way first, because everybody does. Give the model the data, ask it for the outcome, let it work. It hallucinated. Quietly, and in ways that read as perfectly reasonable until somebody checked them against the record. By then the work had already gone out. A system built on probability does not stop when it is unsure, because stopping is not something it knows how to do. It produces the most plausible answer, and plausible is not the same thing as correct. How we found that out. #### What this costs you We would rather say this plainly than have you find out. A system built this way stops more often than one that guesses. When something genuinely is not in the record, it comes back and asks rather than producing something that reads well. Some of those interruptions will feel unnecessary, and a more confident system would have carried on without bothering you. It also means we might ship a bit more slowly. Every capability has to be something that can be checked before it runs and read back after it has, which rules out a lot of shortcuts. We accept that. #### What it saves you The serious products in this category are not careless about the guessing problem. They deal with it by spending more on it. More checking, more passes, more context handed to the model every time anything happens. That works, and somebody pays for it. The cost rises with how much you use the system, which is manageable for a company with a finance department and quietly punishing for a small team. It also means the more work you hand over, the more it costs you to have handed it over. We built ours so that cost does not climb in step with how much you hand over. It does not make AI free, and we would not pretend otherwise. But it is a different curve, and it is the one that matters when you are three people rather than three hundred. The AI layer is a component here, not the foundation. We can change it, and over time we intend to own more of it. Nothing you depend on rests on one supplier staying the way it is today. #### What we are not claiming yet There are things we expect to be able to say in a year that we are not saying today, and the fact that they are absent from this page is deliberate. It was pulled out of a business that was failing at its own admin, Ours. #### The year our own back office broke Millionyse builds software for other businesses, and automates the processes that run behind it. Teams in Australia and Sri Lanka, with clients across five primary countries. By 2023 it had enough clients that its own admin started failing. Invoices went out late, or not at all. Software and domain renewals lapsed and cost us in fees. Projects went quiet and died, not because anyone did the work badly, but because the onboarding and the paperwork around it outran the people available to do them. A company that automates other people's processes was losing money because its own were a mess. That is the part we would rather not write down, and it is also the reason any of this exists. #### We tried the obvious thing first We hired. And it worked. It genuinely helped, and we would tell any business in the same position to do exactly the same thing. But hiring solves the problem at the speed of a person. Every new client meant more of the same work, and the only lever was more hours from more people. It was an answer with a ceiling, and from where we were standing we could see the ceiling. #### So we built our own tools Not a product. Just tools for the jobs that hurt most. The digital footprint work came first, the setup every new client needs before anything else can begin. Instead of somebody doing it by hand for the tenth time that month, the tool did it. Work that had taken hours took minutes. And it still was not enough, because everything we had built was about doing the same work faster. The work itself never went anywhere. Somebody still had to notice it was time, start it, check it, and carry the result to wherever it needed to go next. We had automated the typing and kept the job. #### Then we tried handing the whole thing to AI When the models got good enough, which they had not been when the agency started, we did what everyone else did. We gave an AI the data and asked it for the outcome. It hallucinated. Not dramatically, which is the dangerous part. A figure slightly wrong. A detail confidently invented. An outcome that looked entirely reasonable until you checked it against the record, and by then it had already gone out. Survivable on a draft social post. Not survivable on a client's records, a signed document, or anything that leaves the building with your name on it. That is where our approach came from. Not from a whiteboard. From watching a model guess on work that mattered. What we do instead. #### What everyone actually wanted Neither we nor our clients wanted another dashboard to learn. What both sides were asking for was someone to do the execution. Some of our clients had started hiring virtual assistants, which told us something we had been slow to see. They were not shopping for better software. Hiring a person was simply the only way anyone had ever been able to buy the outcome. The pattern never changed. Different industries, different sizes, the same bottleneck every time. #### Who we are building for We are building for businesses past the point where one person can hold everything in their head, and nowhere near the point where they can hire a back office to take it off them. That is most growing businesses, for most of their life. For a real AI employee, the AI is the smallest part. To understand how the website and product are used, so we can improve them. #### How automated systems are used IniDeck uses automated systems, including AI, to understand requests and to carry out work, such as preparing messages and documents, following up, and creating or updating records in services you connect. Anything that cannot be undone, such as sending something to your client or changing a price, is carried out only after a person in your workspace approves it. Every action is recorded, including what was approved and by whom. #### AI and your information Before a request reaches an outside AI provider, the names, contact details and figures in it are replaced with placeholders. The real values are never sent to the outside provider. Your business records are never used to train an AI model belonging to anyone else. Where we improve our own systems, we learn from anonymised patterns in how requests are structured, not from what is in them. #### Your clients' information When you put information about your clients into IniDeck, we handle it on your behalf. We use it only to do the work you ask for, we contact your clients only on your instruction, and we never use their details for our own purposes. You are responsible for having the right to share that information with us and to contact the people you ask us to contact. #### Who else handles it We work with established service providers for hosting, network security, AI processing, payment processing, email and message delivery, and website analytics. Each handles information only to provide its service to us. We do not sell personal information, and we do not share it for advertising. We may disclose information where the law requires it, or where it is reasonably necessary to deal with unlawful activity or misuse of the service. #### How it is stored Information is held on secure cloud infrastructure and is encrypted as it travels between your device and IniDeck. Our providers may store or process information in other countries. #### How long we keep it We keep your information while your account is active, and you can export your records at any time during that period. When an account closes, we stop using the information to provide the service. We keep records for up to seven years afterwards where we reasonably need them to meet legal and financial obligations, resolve disputes, or investigate misuse of the service, and then delete or de-identify them. Where records relate to suspected unlawful use of the service, we may keep them for as long as they are needed for that purpose. #### Cookies and analytics Our website uses cookies and analytics tools to understand how it is used, and may use tools that record interactions such as clicks and scrolling. Any such recording tools are used on the website only, never inside the product. It does not provide accounting, legal, tax or financial advice. Your business and its decisions remain yours. #### Your account You must give accurate information and keep access to your account secure. You are responsible for activity in your workspace, including anything approved by people you give access to. You must have the right to use any information you put into IniDeck, and to contact the people you ask us to contact. #### Approvals Anything that cannot be undone waits for approval from someone in your workspace. Once approved, it is carried out on your behalf and in your name, and you are responsible for what you approve. #### Connected services When you connect another service to IniDeck, you authorise us to access it, and to create, read, update and delete information in it on your instruction, within the permissions you grant. Connected services are provided by third parties under their own terms. We are not responsible for their availability, the accuracy of their data, or changes they make that affect how IniDeck works with them. #### Acceptable use IniDeck must be used lawfully. Contact only people who have a genuine business relationship with you or who have asked to hear from you, send no unsolicited bulk messages, and stop contacting anyone who asks you to. Nothing fraudulent, threatening, harassing or misleading about who is contacting someone or why, and no impersonation of another person or business. No attempts to gain unauthorised access to the service, to disrupt it, or to get around its limits, and no reselling of IniDeck without an agreement with us. #### Misuse We keep records of activity in the service so that misuse can be investigated. Where we reasonably believe the service has been used unlawfully, we may keep those records for as long as needed and share them with the relevant authorities where the law requires or permits. We may suspend an account immediately where there is a serious risk to other people or to the service. You are responsible for, and will cover our reasonable costs arising from, any claim caused by your breach of these terms, your unlawful use of the service, or your use of information you did not have the right to share with us. #### Fees Your plan renews automatically each month and is charged in advance, as set out on our pricing page, until you cancel. Fees are not refundable, except where the law requires it or where we have charged you in error, such as a duplicate charge. We will tell you before your plan or its price changes. Purchases we make on your behalf, such as a domain, are charged at what they cost us. #### Your information How we handle your information and your clients' information is set out in our privacy policy. #### Availability We work to keep IniDeck available and will tell you about planned maintenance where we can. We do not guarantee that the service will be uninterrupted or error free. We are not responsible for delays or failures caused by events outside our reasonable control. #### Cancelling You can cancel at any time. Cancellation takes effect at the end of the month you have already paid for, and your workspace stays available until then so you can export your records. That month is not refunded. We may suspend or close an account for a serious or repeated breach of these terms. Some records are kept after an account closes, as described in our privacy policy. #### Liability Nothing in these terms excludes, restricts or modifies any right or remedy you have under consumer protection law that cannot be excluded. Where the law allows us to limit our liability for a failure to meet a consumer guarantee, our liability is limited to supplying the service again, or paying the cost of having it supplied again. To the extent the law permits, neither of us is liable to the other for indirect or consequential loss, including loss of profit, revenue, data or goodwill.
